Administrative Assistant

oelheld U.S., Inc., is the United States operating unit of oelheld GmbH, Germany. We are an independent, family owned manufacturer of specialty lubricants for the metalworking industry and have been successfully in business since 1887. We provide high quality lubricants and services to a wide range of industries including the makers of complex metal components such as tool, automotive, aerospace and metal device manufacturers worldwide. The company’s U.S. Headquarters is located in West Dundee, IL, with manufacturing operations and distribution facilities.

oelheld U.S., Inc. is seeking an employee with high energy who is self motivated, naturally curious, eager to learn new skills, who loves to work hands-on and isn’t afraid to tackle big projects or take on small assignments. The position centers around your administration and marketing abilities and running the front office. You must demonstrate superior communication skills, be comfortable on the phone and show compassion for our clients and team members. German language skills are a big plus for this great position.

Duties and Responsibilities

Administration
Ÿ Daily tasks such as answering phone calls, prepare meetings, file maintenance, etc.
Ÿ System and Device Management
Ÿ Building Management
Ÿ Insurances
Ÿ Assist IT
Ÿ Assist Inside Sales when out of the office (order entry, etc.)
Ÿ Miscellaneous projects and assignments

Purchasing
Ÿ Ongoing tasks such as placing orders, setup vendors, import, requesting prices, price negotiations, etc.

Human Resources

Ÿ Hiring process, 401(k), insurances, etc.

Marketing
Ÿ Plan and organize exhibitions and events (pre-show, onsite, post-show)
Ÿ Assist in advertising, incl. promotional material

Requirements

Our ideal candidate is an open person who thinks creatively and jumps on things that need to be done without being told. What you need is a background in Administration, Marketing and Communications or similar and/or experience in this area. Communication and computer skills are needed as well as strong organizational and planning skills with the ability to prioritize time-sensitive assignments and get things done. Further, strong writing skills are required.

General Requirements and Skills
- Excellent computer skills (Microsoft NAVISION, MS Office: Outlook, Word, Excel)
- Be organized and focused
- Maintain a professional and clean appearance
- Participate in the maintenance and upkeep oelheld facilities
- Be able to handle a variety of projects
- Ability to work with minimal supervision and to work independently
- Able to stay calm under pressure
- German language skills are a big plus

Experience
Associates or Bachelor Degree in Business or Marketing and/or equivalent work experience
