Executive / Administrative Assistant

This position is located in Alpharetta, GA.

This position is an important role in a team-oriented work environment within a family owned, German medical device company. This position is full-time and reports to the Director of Operations, but will handle administrative requests and queries from a variety of senior managers.

We are looking for a responsible Executive / Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.

JOB RESPONSIBILITIES:

  • Answer and direct phone calls to appropriate department
  • Organize and schedule appointments
  • Plan office meetings and take detailed minutes
  • Plan large group meetings, review event contracts, and other larger company events
  • Make travel and accommodation arrangements
  • Write and distribute email, correspondence memos, letters, faxes and forms
  • Create excel reports as needed for department heads
  • Assist and prepare scheduled reports and statistics
  • Develop and maintain a filing system, both electronic and physical
  • Update and maintain office policies and procedures
  • Manage office and facility suppliers and services
  • Order office supplies and research new deals and suppliers
  • Maintain contact lists
  • Organize and book meeting and convention space
  • Provide general support to visitors
  • Act as the point of contact among executives, employees, clients and other external partners
  • Liaise with executives and employees from all departments
  • Handle requests and queries from senior managers
  • Manage company fleet vehicles
  • Handles Sales Rep hospital credentialing program
  • Other tasks as assigned

QUALIFICATION / SKILLS:

  • Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
  • Knowledge of office management systems and procedures
  • Working knowledge of office equipment, like printers and fax machines
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular)
  • Excellent time management skills and the ability to prioritize work
  • Attention to detail and problem-solving skills
  • Travel and event-booking experience
  • Excellent written and verbal communication skills
  • Strong organizational skills with the ability to multi-task
  • High School degree; additional qualification as an Administrative Assistant or Secretary will be a plus
  • Ability to interact with related departments in a fast-paced environment
